Role & Responsibilities of the Senior Administrator:
  • Delivering Excellence: Manage the help desk to ensure the smooth handling of client work requests and queries.
  • Advanced Reporting: Create and issue MI reports using advanced Excel skills to provide actionable insights.
  • Efficient Coordination: Log, assign, and manage work requests through the CAFM system, ensuring accurate updates and timely responses.
  • Scheduling and Compliance: Maintain planned maintenance schedules, manage reactive requests, and ensure all compliance standards are met.
  • Supplier and Client Liaison: Collaborate with suppliers to progress quotations, secure updates, and ensure job completions.
  • Support On-the-Go: Attend client and supplier meetings on-site and assist Account Managers with larger-scale projects.
  • Administration Support: Process invoices, update trackers, and manage shared drive documentation to keep everything running smoothly.
  • On-Call Assistance: Be part of an out-of-hours rota to provide phone-based support.

About You as the Senior Administrator:
  • Passion for customer service and an interest in facilities management.
  • Proactive problem-solving skills and the ability to work autonomously and as part of a team.
  • Strong communicator, experienced in liaising with stakeholders at all levels.
  • Advanced skills in Microsoft Excel and proficiency across all MS Office packages.
  • Eagerness to grow professionally, with a willingness to complete training and certifications.
  • Organised, detail-oriented, and capable of handling multiple projects simultaneously.
  • Full UK driving license required for occasional site visits.
